Your CRM, from an assigned visit to a logged outcome
Eight steps, about 25 minutes. Do each one in the CRM while you read, check what you should see, then mark it done. Stuck on a step? Message us in Slack.
Log in on your computer and your phone
Open the invite email from the CRM (check spam), set your password, and log in. Pick Residential Distributed Energy Program (RDEP) if it asks. Then install the LeadConnector app on your phone and log in with the same login.
The RDEP dashboard on the computer, and the same account in the app.
Your RDEP email address is for emailing customers from inside the CRM. Use your personal email for setting up the field apps.
Find the visits assigned to you
Calendars > your assessment calendar
Your home visits. Setters book on the New Appointments calendar; the sales manager moves each one to a rep's calendar. It's on your calendar only once it's yours.
No calendar, or a visit you were told about isn't there: message us in Slack.
Prepare before the visit
Open the appointment, then the contact. Read the setter's note and the answers on the left: Homeowner?Co-op?Grid / Solar? If solar: leased?
Name, address, phone numbers and what the setter learned on the call.
The homeowner was told a 1-hour arrival window and about 20 minutes at the home.
Send your on-the-way signal
Only when you're actually leaving for the home, change the appointment status to Confirmed.
The appointment shows Confirmed. That's the team's "rep is on the way" signal.
Running late? Tell the sales manager, who updates the homeowner.
At the home
- Qualify first, with the checklist.
- Look at the wall and the breaker box.
- Enter the application.
- Welcome call: a link the homeowner opens on their phone, or on your tablet.
- Site survey photos last, after they qualify.
Say "application," never "sell." The homeowner has up to 10 days to change their mind.
Log the outcome on the opportunity
Opportunities > Home Energy Assessments > open this homeowner's card > Appt Disposition
Clear any old choice first, then pick exactly one:
SoldNo SaleNot QualifiedFollow-Up RequiredNo ShowCancelledRescheduled
Then Save.
The card moves on by itself: Sold goes to the Sold stage; Follow-Up Required creates a follow-up task.
The outcome goes on the opportunity, not on the appointment and not in a call outcome. Log it within 4 hours of the visit. Visits with no outcome get flagged.
Fix a wrong outcome the right way
Picked the wrong one? Clear it, pick the right one, Save. If you change a Sold card, the sales manager is alerted, so add a note on the contact saying why.
Sold stays Sold in the CRM until the manager reviews it. Don't change it back and forth.
Keep your quick card
Download your one-page quick card and keep it on your phone or tablet for visits.
The outcome list, the on-the-way signal and the order at the home on one page.
That's the job.
You can find your visits, read the setter's notes, send your on-the-way signal and log one outcome on the opportunity after every visit. The CRM routes the rest.
